Role and Site Switching
Users with multiple roles will now be able to switch to a different role without having to log out and log back into
the platform. Thats right, once properly configured, you can use the same username/password combination for
multiple roles.

Only an Institution Administrator (IA) can configure multiple role assignments to a single username within the
user profile. For security purposes, the role switch is limited between Institution Administrator and site level (non-
proctoring) permissions.

When creating a new username that has multiple roles associated with it, you must assign a default role which
will be used upon initial login. When selecting Site Manager as the default role, you must also define the default
site that the username should use upon login. Although the default role is initially set by the Institution
Administrator, individual users or the Institution Administrator can select a new default role should the need arise.

Addi
tionally, Proctor and Proctor Reporters within the same institution can now be assigned to access multiple
sites with a single username/password. You must also define the default site that the Proctor or Proctor Reporter
username should use upon login.

Once logged in, Proctors and Proctor Reporters can switch between sites, but not roles.

How
to Configure?
The Add a user screen has been modified to accommodate the new user role management function. You will
now see 3 distinct sections: one for name information, one for Demographic Information (e.g., address, phone,
Account To and Account From dates), and one for Role/Site Management (where you assign roles and sites).

For new institution administrators, site users (Site Manager, Score Reporter, Site Score Reporter, Site WritePlacer
Reporter), proctor or proctor reporters, once you select a user type (e.g., Site Manager from Figure 6), the
Role/Site Management section of the screen will appear. From there, you can assign roles and establish the
default role you want to use upon logging in to ACCUPLACER.

Common Scenarios
Example 1 – I don’t want to keep track of 7 different usernames and passwords
I have a single Institutional Administrator, three Site Manager, and 3 Proctor Reporter usernames, as follows:
Institution Administrator:
jdoe_ia
Site Manager:
Proctor Reporter:

jdoeproctor_report_site1
jdoe_sm_site2
jdoeproctor_report_site2
jdoe_sm_site3

How do I consolidate these?
STEP 1: Login as the IA (jdoe_ia)
STEP 2: Under the Users Manage Profiles – User Profiles menu option, search for and select the IA
profile you want to modify
STEP 3: Assign a Site Manager role
STEP 4: Select the sites you want to add to that Site Manager role. Pick a default role and site (if
applicable)).
Don’t forget to save your changes by clicking the yellow save button in the upper right!
STEP 5: Create a new proctor reporter user. You may want to use an easily identifiable username, such
as jdoe_proctor_multiple_sites. In the Role/Site Management section, assign the sites where they can
proctor.
Save your work!
Once comple
ted, you can expire or delete the 3 Site Manager (jdoe_sm_site1 jdoe_sm_site2 and jdoe_sm_site3)
and 3 Proctor Reporter usernames (jdoeproctor_report_site1, jdoeproctor_report_site2, and
jdoeproctor_report_site3), leaving you with 2 usernames instead of 7. One IA/SM username (jdoe_ia) with Site
Manager access to 3 sites and one Proctor Reporter username (jdoe_proctor_multiple_sites) with access to 3
sites.
PRO TIP: Instead of creating a new Proctor Reporter username, you can search for and edit one of your existing
proctor reporter usernames (jdoeproctor_report_site1) and add the new site assignments to that username. If
desired, rename that username to something that makes more sense (jdoe_proctor_multiple_sites). Don’t forget
to save after making your revisions. Once completed, you would only have to expire or delete 2 Proctor Reporter
usernames (jdoeproctor_report_site2 and jdoeproctor_report_site3) rather than all 3 (jdoeproctor_report_site1,
jdoeproctor_report_site2, and jdoeproctor_report_site3).
Example 2 – Switching your Score Web Service user (the username that downloads scores for your SIS) from IA
or SM to Webservice
If you are currently using an Institution Administrator or Site Manager account to download scores via the score
web service, you will NOT be able to add roles to those usernames. For a cleaner account setup, it is
recommended that you create a Webservice User to download scores, selecting a specific site if you only want
data for that site. Once the Webservice user is configured and you are satisfied it is working properly, you can
expire or delete the IA or SM account that was previously used to download scores.
